BBIS has an opening for a Music Lesson Programme Coordinator (f/m/d) on a mini job basis. 

Working time: 4 hours per week (mini job basis = 215 EUR/month)
Start date: 1st June 2024
Limited initially until 31st July 2026

The CoCurricular Music Program is a team of professional, independent, freelance musicians giving private, individual music lessons to BBIS students, parents and staff on campus.
Although close communication is desired and encouraged, the music lesson programme is independent from the BBIS Music Department and the instrumental teachers are independent in their teaching and not bound by the BBIS music curriculum.
YOUR RESPONSIBILITIES INCLUDE THE FOLLOWING ACTIVITIES
The coordinator should act as a contact person between the instrumental teachers, the school’s administration, the school’s music department and students (and their parents) participating in the instrumental (co-curricular) programme.

The main contact person on the side of BBIS management is the Director / CEO.

With the aim of:

  • Enabling the programme to function smoothly within the school’s context with lessons mainly starting after 3 pm
  • Enhancing  the school’s curriculum by providing high quality, private instrumental music lessons. 
  • Widening students’  skills, both academically, socially and emotionally
  • Providing support for school events involving music, where appropriate and practical.

The coordinator will:

  • Ensure all external music teachers meet the expectations for BBIS child protection practices.  This includes the submission of child background checks prior to working with any students on campus, and completion of a BBIS child protection training.  
  • Provide a working timetable for the use of practice rooms in the Pavilion. To facilitate this, discussions with the music department teachers should be held at appropriate times within the academic year. If a physical meeting is not practical, email, phone or other electronic means of communication are valid. At all times, the music programme timetable will endeavor to respect the needs of the school music timetable.
  • Maintain a schedule of students taking lessons with each instructor.  Ensure that this schedule and participant list is shared with the BBIS Director, and HR Director each quarter
  • Display the individual music lesson timetables in the Pavilion or make them available online if possible and/or practical, to avoid double-booking.
  • Provide a tool or system for filling free lessons (slots that become available due to cancellation) for the Co-Curricular Music program teachers, if possible.
  • Ensure that the program is advertised (e.g.  in the school newsletter) and updated print-outs will be displayed in the Music department with contact details of all individual music teachers involved in the program. A list of contact details will also be sent electronically to the whole school staff at the beginning of each academic year.
  • Encourage live music performance: If practical, organize at least one Co-Curricular Music student concert annually, giving students the opportunity to perform in public. If a concert including all instruments is not possible, encourage and/or help organize concerts of individual instruments. These will be advertised in the school newsletter and in the music department. 
  • Give support to both music students and Co-Curricular Music program teachers should any problems concerning music lesson arrangements, payments etc. arise.
  • Ensure that the Co-Curricular Music program teachers fulfill their obligations to provide regular lessons and, if necessary, coordinate substitutes.
  • Take up requests or complaints from students or parents with the Co-Curricular Music program teachers first
  • Coordinate the advertising of individual teachers and give details to parents’ enquiries concerning the teacher’s availability for music lessons, referring them to the individual teacher directly.
  • Provide a contract between the Co-Curricular Music program teacher and the school management. Review this contract as necessary due to growth and development.
  • In the case of further interest in music lessons beyond the capacity of the existing staff, find, interview, select and suggest additional Co-Curricular Music program teachers to the management (CEO), if possible in consultation with the current teacher of that particular instrument.
  • Collect applications of possible CoCu teachers who reach out to the school. 
  • Collect all billing details concerning student numbers per semester for the purpose of rental billing. This will be sent to the business office twice a year. Ensure that all instructors submit their rental payments within the period specified by BBIS.
  • Coordinate program vision, growth and development with the school administration and the music department if needed, to avoid roaming conflicts. 
  • Monitor, to the extent practically possible, the quality of the program.
  • If practically possible, assisting with participation in outside events and supporting membership initiatives (AMIS, Music exam schemes etc.)

Obligations of the school  to the Music lesson programme coordinator

The school will:
  • Assign one administrator and one business office liaison to coordinate the support for the Co-Curricular Music program - in doubt, the main contact person is the director/CEO.
  • Give support and advice to the coordinator should:
    • Co-Curricular Music program teachers fail to fulfill the conditions of their contract and the coordinator is unable to resolve the issue at hand
    • Parents and Co-Curricular Music program teachers are unable to resolve conflicts concerning payments, teaching quality etc. In the first instance, the Co-Curricular Music program coordinator will be responsible for resolving the conflict, but, if necessary, will receive full support from the school’s administration to reach a satisfactory solution to the problem.
    • Rental bills fail to be paid on time by the Co-Curricular Music program teachers. Help will be sought as a last resort and only if there is no response to the business office’s demands.
